IT Project Manager

  • On-site, Remote, Hybrid

Job description

We’re looking for another awesome Project Manager to join Xfive!

One of our PMs is taking a 3-month break, so we’re looking for someone to step in full-time and cover for them. But to be honest, looking at everything that’s going on in the company right now, there’s more than a good chance we’ll need to grow the team anyway. That’s why we’re treating this as an opportunity to find someone who might stick with us longer term, even after our current PM is back.

What’s the job about?

At Xfive, Project Managers aren’t just task trackers; they’re the people who build strong, long-term partnerships with our clients. You’ll be the go-to person for project updates, questions, and decision-making, both for our clients and for the internal teams (designers, developers, operational team).

You’ll guide projects from start to finish, helping clients turn their ideas into real, working products. That means working closely with our delivery teams, planning projects, setting priorities, and making sure everyone’s set up for doing a good job. Sometimes you’ll have to point out risks, adjust expectations, or explain the consequences of scope changes. We’re looking for someone who isn’t afraid to speak up and help everyone stay on track.

Our projects are usually for startups, creative agencies, and global brands. We use modern tech like React, Vue, Angular, Ruby on Rails, WordPress, Headless CMS, No-code tools, and Next.js. We also collaborate in Figma, Jira, and Notion. If you’re familiar with these, that’s a big plus!

What we offer:

A people-first company. We’re around 50 people, so still small enough to really care about each other, not just numbers on a spreadsheet. Of course, stable cash flow matters, but we know that happy, fulfilled people are the ones who make those numbers possible. The best proof is that quite a few of our team members have been with us for over 10, even 15 years. And we’re proud of that!

Real support from real people. You won’t be left alone with your tasks. Whether it’s a small issue or a bigger challenge, we’re the kind of team that actually helps each other out; every day, not just when it’s convenient. You’ll always have someone to lean on.

Flexible work setup. We can hire you on a B2B or an employment contract, it’s totally up to you. Also, you can work from home, from the office (Starowiślna 46, Kraków), or mix both; again, whatever works best for you. We’re flexible with working hours too. The work needs to get done, of course, but no one will be checking if you’re at your desk at 9:00 sharp. So if you need to pick up your kid from school or run an errand, there will be no problem with that.

A bonus system that actually means something. When your project is successful, you’ll feel it after 3 months of your work, not just through a “good job” or a pat on the back (although those are nice too, and we practise them regularly), but in your wallet.

Private healthcare and a benefit system you can adjust to your needs. You can pick what works for you.

Team-building that’s actually fun. We enjoy hanging out together. Sometimes it’s sushi or board games, sometimes hiking or skiing trips. Plus, we organize annual xfive Days where we mix learning with fun, team activities.

A parking spot right next to our office in Kazimierz. If you’ve tried parking in Kraków, you know how rare that is.

Job requirements

You’ve managed web projects before. You don’t need to be a developer, but you should know how the web works. Enough to connect the dots for clients when things get technical.

You’re comfortable with Agile, Scrum, Kanban, or some mix of both. You should know the drill and can help the team stick to the process (or tweak it when needed).

Your English is solid (C1 level). Most of our clients are from the US or UK, so you’ll be chatting with native speakers every day. It is important that you feel comfortable with Shakespeare’s tongue or its American variations.

You can communicate in Polish too. Our operations team is local, so you’ll need at least a communicative level of Polish.

You’re a people person. This job is all about communication, empathy, and making sure everyone’s on the same page; from developers to designers to clients.

You’re proactive. If you see a risk, flag it early. If you think there’s a better way to do something, speak up. We love people who take initiative.

Extra points if you’ve helped build web apps before as a developer. Not a must, but that’s definitely a plus.

Mixed skillset. Previous experience as a Business Analyst, UX Researcher, or Product Designer is also a plus, but not mandatory.

If this sounds like your kind of role, don’t overthink it. Apply! We’d love to meet you.🙂
